This privacy policy explains how Let's Talk Solutions Ltd handles information in connection with its Atlassian Marketplace apps and this website.

This Privacy Policy explains how Let's Talk Solutions Ltd ("we", "us", "our") handles information in connection with the applications we publish on the Atlassian Marketplace (each, "an App", together "the Apps") and this website. It currently covers:
- LaunchPad for Jira Service Management - deploys and manages Assets schemas.
- Second Chance - suggests relevant knowledge base articles to a customer after they raise a request.
The principles below apply to every App. Where an App handles data differently, that is set out in its own section under "What each App accesses".
Our role
Let's Talk Solutions Ltd is the vendor of each App. The Apps run entirely within the customer's Atlassian Cloud environment on the Atlassian Forge platform. We do not operate independent application servers and we do not host customer Jira data. The organisation that installs an App remains the controller of all data stored in its Jira Service Management instance; we act only as a processor of the limited data described below, and only within Atlassian-managed infrastructure.
What each App accesses
LaunchPad for Jira Service Management
LaunchPad interacts only with configuration information required to create and manage Assets schemas:
- Schema names and object type names
- Attribute and relationship definitions
- Configuration metadata
LaunchPad does not read or retrieve:
- Request conversations or ticket comments
- Attachments or uploaded files
- End-user communications
- Knowledge base article content
- Email message content
Second Chance
Second Chance helps deflect requests after they are submitted by suggesting relevant help articles. To do this it reads, within your own Jira tenant and respecting each user's existing permissions:
- The summary and description of the request being viewed, from which it extracts keywords (the description is truncated before processing). It does not read comments, attachments, or other ticket fields.
- The knowledge base articles the viewing user is already entitled to see, in order to match and rank suggestions.
All matching happens inside Atlassian Forge using a keyword approach. Second Chance does not use any large language model, artificial intelligence service, or other external API, and no request or knowledge base content is transmitted to us or to any third party.
Because a request summary and description contain free text typed by a user, they may contain personal data. The full text is read only transiently to extract keywords and is not stored. Only derived keyword tokens are retained, and only when a user rates a suggestion (see "Data storage and retention" below). The customer organisation remains the controller of all request and knowledge base content.
Personal data processed
Each App processes limited user context provided by Atlassian Forge solely to operate within the customer's Jira Service Management instance: Atlassian account ID, user permission context, and organisation identifiers necessary for authorisation.
In addition, Second Chance stores, within your own tenant, the Atlassian account ID of a user who rates a suggestion alongside the keyword tokens that produced that suggestion (see below). No App uses personal data for profiling, marketing, advertising, or tracking, and no App accesses email addresses or names for these purposes.
Where processing occurs
All processing occurs within the Atlassian Forge platform and the customer's Jira Cloud tenant. No customer operational data is transmitted to our own servers.
Data storage and retention
The Apps do not persist customer data outside Atlassian Cloud. Any operational data stored in Atlassian Forge storage exists only within your own tenant, exists only to support application functionality, and is automatically removed when the App is uninstalled or the data is no longer required for operation.
LaunchPad stores the Assets schema configuration it creates within your JSM instance and lightweight operational metrics (aggregated usage counters, success and failure counts, and a rolling log of the most recent 20 events).
Second Chance stores, exclusively within your own tenant:
- Per-project settings - the configuration an admin chooses for the App in a project.
- A cached coverage report - a scored summary of how well your knowledge base covers recent requests, held for at most 24 hours before it is regenerated.
- Feedback events - when a user rates a suggestion as useful or not useful, the App records the account ID, the request and article references, the matched keyword tokens, a score, and a timestamp.
- Sampled performance metrics - timing and cache statistics with no personal data.
When Second Chance is uninstalled, all of the above (settings, coverage cache, feedback events, and metrics) is purged from Forge storage.
Third-party services
The Apps do not use third-party analytics, advertising, or tracking services, and communicate only with Atlassian Cloud services. The documentation site uses Plausible Analytics, a privacy-focused, cookie-free analytics service hosted in the EU.
Your rights
Under UK GDPR and EU GDPR you have the following rights over your personal data:
- Right of access (Article 15)
- Right to rectification (Article 16)
- Right to erasure (Article 17)
- Right to restriction of processing (Article 18)
- Right to data portability (Article 20)
- Right to object to processing (Article 21)
- Right not to be subject to automated decision-making (Article 22)
The Apps do not make automated decisions about individuals and do not profile users. Second Chance ranks knowledge base suggestions by keyword relevance; this does not produce decisions with legal or similarly significant effects on any person.
How to exercise these rights
Email hello@lt.solutions with "Data subject request" in the subject line. We will respond within one calendar month where reasonably practicable, in line with UK GDPR Article 12(3). We may ask you to verify your identity before actioning a request.
Requests relating to personal data stored within Jira Service Management itself should be directed to the organisation that controls the Jira instance; we are a processor of the limited data described above only.
Complaints
If you are unhappy with how we have handled your data or a request, you may complain to the UK Information Commissioner's Office at ico.org.uk. Equivalent authorities apply in the EU.
